HC3 Rapid Deployment Strategies

The purpose of rapid deployment is to give Financial Institutions a quick and easy solution for providing critical documents to their customers during the COVID-19 Crisis. 

Print/Composition Deployment

FIs who host their printing and mailing operations in house, or with an outsource provider that only operates in one location, may experience an operational impact if their team is in a virus hotspot or becomes infected. In this case, these FIs have no way to print and mail critical customer documents. HC3’s emergency print/composition deployment provides a rapid implementation of printed statements, allowing FI statements to be printed/mailed from HC3’s facilities in a matter of days. 

A typical statement implementation lasts 90-120 days, which includes in depth redesign and data configuration. HC3’s rapid deployment entails a 5-7 day implementation, with restrictions/limitations to redesign and data configuration. The goal of this condensed process is to provide FIs with printing/mailing capabilities as quickly as possible to ensure customer communication is not halted. 

For the rapid deployment of printed statements, HC3 will build, test, and deploy a statement workflow. First, the FI provides HC3 with sample print image files via HC3’s SFTP. The FI confirms which internal contacts receive the daily production report, and what approval process they need for daily files. Once this is confirmed, HC3 builds the print workflow to pick-up the print file, pre-sort, generate production reports, and print/mail. After the workflow has been built, the FI and HC3 go through a condensed testing process to ensure the files are being submitted, processed, and printed correctly. With FI approval, HC3 goes live with the printing and mailing of statements.

Digital Deployment

HC3 is also preparing for the unlikely possibility that the USPS experiences severe mail delays due to the impacts of the virus. HC3’s emergency eStatement delivery solution allows for printed documents to be quickly re-routed and delivered as a password-protected email attachment. The goal of this delivery is to provide critical documents to customers as quickly and easily as possible. Rapid digital deployment takes HC3 2-3 days to build, test, and deploy.

Instead of receiving a printed statement, the FI customer receives an email with the statement/document attached. The email explains that, due to COVID-19, the FI is delivering the customer’s printed statements via email and that he or she can use the account owner’s DOB, or other unique identifier, as the password to open the PDF.

To employ this digital delivery, HC3 needs the following information: A CSV file from the FI that contains account numbers and an email address associated with that account. There is a third field in this file that can be used in situations where a bank may have duplicate account numbers (e.g. a loan system that could potentially have identical account number to a DDA). This file is provided once initially (and at any interval as updates occur). It does not need to be provided with each statement file. HC3 also needs the account holder’s DOB, last four of SSN or other shared secret to use as a document password.  One of these pieces of information is usually present in the existing statement or letter file.

Print/Composition & Digital Deployment

In some cases, an FI may need to utilize both Rapid Printed/Composition Deployment and Rapid Digital Deployment. For a non-client to utilize HC3’s rapid digital deployment, they must complete the setup of printed/composition deployment first. Once that is complete HC3 will continue with the digital implementation.
