On Saturday, April 4, Alabama’s Governor issued a statewide Stay-At-Home Order. HC3 is still considered an essential business and is continuing to operate. We are still following all proposed guidelines and precautions with temperature checks, wearing and sterilizing face masks, and wearing gloves in the office. HC3 is also adhering to the social distancing guidelines set forth by the governor and the CDC.

March 25, 2019

As of Tuesday, March 24, 2020, The Birmingham City Council approved a shelter-in-place order. The order acts to further prevent the spread of the COVID-19 coronavirus.

The ordinance is scheduled to be in effect from Tuesday, March 24 and will stay in effect until midnight on Friday, April 3.

Based on the guidelines provided by the Department of Homeland Security, HC3’s Birmingham, AL Headquarters and Processing facility and Dallas, TX Processing Facility are considered essential businesses and will remain open during the COVID-19 Situation.

The United States Postal Service (USPS) is also considered an essential business and will continue to operate as usual.

March 18, 2020

HC3 has continued tracking the coronavirus (COVID-19) situation.  Our focus is both on the safety and well-being of our employees and the needs of our clients.  As the impact continues to escalate in the United States, we are communicating our current plans to keep our clients informed.  Below is an outline of the processes we have implemented based on the current CDC guidance.

SOCIAL DISTANCING

  • We have instituted social distancing measures within our facilities to reduce the risk of severe impact while preparing for the possibility of a severely reduced essential workforce.
  • Effective March 16, our non-production essential staff is working remotely.
  • To mitigate the risk of sick employees at the office, we have implemented an updated paid leave policy.
  • We have instructed our cleaning vendor to institute additional cleaning procedures in both our production and office environments until further notice.
  • We are providing additional wipes and sanitizers in all facilities.

PRINT PRODUCTION REDUNDANCY

HC3 has facilities in Birmingham, AL and Dallas, TX, and our production teams will continue operations in our facilities in both locations.  Work can easily be transferred between these locations. HC3 team members also have redundancy back-ups for all positions to ensure coverage of every area of service.

We understand that the possibility exists that the progression of the virus is rapid enough that it could impact a large percentage of our essential production team.  We have begun recruiting for additional short-term personnel with industry experience and the ability to rapidly contribute to our environment.

ALTERNATE DELIVERY OPTIONS

We are preparing for the unlikely possibility that USPS mail delivery may face severe delays or interruptions.  We are architecting procedures to rapidly deploy simplified digital delivery solutions and evaluating the compliance implications of such a conversion. At the most basic level, these services would require that our clients be able to provide email addresses for customers who have previously chosen printed document delivery.  Please consider what options you have available to capture and communicate this information.

The team here knows how critical HC3’s services are to your operations. We value our relationship with you and are available to answer any additional questions you may have. Please reach out to your Account Manager if you have additional questions.

Best Regards,

Thomas S. McGahey
